In addition to basic support, individual may support more Senior Managers and provide broader department support to a number of managers. Tasks may include project management of functional activities, representing the VP in communication/ responses to different stakeholders, booking meetings, maintaining documentation, establishes systems and structures for day to day functioning of their responsibilities. In some instances may supervise others and allocate resources as necessary.
• Responds on behalf of the VP to different stakeholders maintaining high professional standards whilst meeting conflicting needs
• Responds to more complex or escalated enquiries from other PA/secretarial staff
• Accesses the email accounts of Senior Managers supported to schedule their appointments and answer or redirect routine enquiries from internal or external sources
• Accurately transcribes, types, formats, and proof reads a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using PC, presentation, graphics and spreadsheet software. May complete in own language and English.
• Uses desk top publishing software to design more complex documents to support the work of the department they support
• Provides specialist project based administrative support when required
• Coordinates internal and external meetings / conferences / events so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available
• Performs other administrative tasks using independent judgement and discretion
• Prepares documents, presentation materials and official information releases and distributes to required stakeholders
• Coaches and mentors less experienced secretarial help desk staff to help them resolve problems
• Plans, organises, and schedules own workload through system maintenance so that all activities are completed accurately and on time
Requirements
Mandatory
Experience:
・Over 10 years of experience as a Personal Assistant (PA)
・Experience as a secretary in a global company
・Experience as a secretary for individuals of non-Japanese nationality
・Proficiency in various software and systems
Skill-set:

- Proficiency in written and verbal communication
- Comprehensive understanding of the local organization and extensive knowledge of how local business processes interact with other related processes and information systems
- Ability to perform a wide range of mathematical calculations and activities related to the business field
- Capability to create and maintain systems that manage the efficiency of oneself and others
- Customer service skills
