Medical and iBex Coordinator

We are looking for a Medical and iBex Coordinator who will contribute to Medical/iBex project performance by efficient administration and assisting the coordination of all projects and activities assigned to the person. Accountabilities:
Support for Medical Affairs team:
Administration of Medical Affairs projects/activities (in collaboration with project owner)
Operational responsibility to set-up of the project/activity outline, tracking, maintenance and close out activities for the projects
Acting and super-user and supporting others in the usage of tools/systems, as applicable – active organization of Advisory Boards, guidance within CE cluster, awareness of compliance and respective SOPs
Actively supporting set-up and maintenance of information in AZ via tracking and communication tools (e.g. project databases, SharePoint, TEAMS). Entire meetings governance (online, onsite for whole medical team, MedLeads and for particular TAs
Leading the practical arrangements and contribution to the preparation of internal and external (international congresses) meetings towards all Tas, meeting materials ensuring, logistics, contracts if applicable)
Placing and receiving internal purchase orders in applicable systems
Supporting payments, coding invoices and updating and reporting activities/projects´ financial status, SAP agenda, COUPA, any relevant FIN system
Support for iBex team - Innovation and Business Excellence team:
Vendor selection support, price quotes collection, contract administration, ordering and payment administration
Leading communication with various stakeholders (both internal and external), perform diverse administrative tasks in various programs and support internal assessments of new vendors or applications in cooperation with global support teams
Own archiving of contracts and other documents, creation of internal orders in SAP and associated processes
Maintain up to date evidence of IT hardware and software, order budget usage, etc.
Support administration of internal assessment processes (3PRM, Security Assessment, RID, TIA,…)
Interacting with other Coordinators and other applicable roles in MC, Region, AZ
Continuously improving in the role and responsibilities
Essential Skills/Experience:
SŠ/VŠ education
MS Office user level, SAP experience advantage
Good speaking and writing skills in English
Organizational skills

Capability to ensure successful independent conduct of responsibilities and appropriate interactions with internal and external customers
Desirable Skills/Experience:
Previous administrative experience
Project work experience
Basic understanding of pharmaceutical business
