Relocation Specialist - Temporary Contract
Working within the Talent Acquisition team, the Relocation Specialist will be the point of contact to support the Talent Acquisition partners in Barcelona. You will be responsible for supporting all new hires/employees making a cross-border move into Barcelona, Spain to join AstraZeneca.
Once offers have been accepted, you will initiate and coordinate the relocation and/or immigration process, ensuring compliance with local employment regulations and keeping systems updated with relevant information. As a key member of the Talent Acquisition Team based in Barcelona, we are looking for a customer service-oriented individual to provide support to our TAq partners, international experience team, and new hires (internal & external) who are relocating cross-border.
You will work closely with the international experiences team and our external providers for immigration and relocation support. Using internal HR technology (Workday, ServiceNow case management, telephony, etc.) and external providers' portals, you will implement and administrate a range of activities aligned to relocation, providing regular updates and communication with new hires and TAq partners when needed to support and solve relocation queries.
Reporting to the Global Hub TAq Lead and partnering with the International Experiences team, you will be responsible for the administration/support of all international moves into Barcelona and the coordination of immigration and visa processes along with local authorities to ensure a positive hiring experience. You will support and provide regular updates to new hires in process to facilitate a smooth pre-onboarding experience.
Accountabilities
• You will be a central point of contact for the TAq team and candidate/employee to direct questions relating to relocation cases.
• Work directly with external vendors to instruct immigration support and/or relocation support through Fragomen and International Experiences team where necessary – this may include Non-EU/EU citizen moves where AZ is/is not providing relocation support – or those with full relocation support.
• Collect and manage the right to work checks – collecting documentation and ensuring visa dates are entered into WD.
• Coordinate all roles with relocation moving into Barcelona – supported and unsupported – this includes being a point of contact for the individual and helping them understand their points of contact in and outside of AZ.
• Maintain regular communication and collaboration with the TAq partners & International Experiences Team regarding new hires into Barcelona through regular updates/reporting.
• Ensure that all visa and immigration documents are processed on time and filed according to legal requirements, track V&I documentation for expiry and renewal.
• Answer daily queries and questions related to relocation.
• Collaborate with external vendors/specialist service providers and internal contacts to support activities.
• Oversee shared drive/Box maintenance, including folder creation, document addition/deletion/revision.
• Ensure internal and external data privacy compliance and maintain confidentiality at all times.
• Contribute to continuous improvement process reviews.
• Provide a professional point of contact for internal and external parties.
Essential Skills/Experience
• Mature in handling sensitive/confidential information.
• Effective communicator (both written and spoken).
• Knowledge of Spanish immigration/social security process (desirable).
